This regulation aims to regulate how companies use your personal information for any purpose to ensure transparency, and to ensure that you have the ability to control your own personal data. NRS Training Services cares about your privacy and are committed to processing your personal information in accordance with fair information practices and applicable data protection laws.
This notice explains how NRS Training Services handles the personal information of employees, sub-contractors, former employees, dependents, beneficiaries, consultants and temporary agency workers in the course of its business activities. We may amend this notice from time to time, should it become necessary. This notice may also be supplemented by other statements as needed to comply with local requirements in the country where the company is operating. You have the ability at any point to withdraw any consent that has been given by you to the company.
Collection and Use of Personal Information;
We may process your personal information for legitimate business purposes to administer our employment or contractual relationship with you and to run our businesses. We may collect, use and transfer your personal information through automated and/or paper-based data processing systems. We have established routine processing functions (such as processing for regular payroll and benefits administration). We also process personal information on an occasional or ad hoc basis (such as when an employee is being considered for a particular new position for example).
In the normal course of business activities, we can collect the following types of personal information on you:
Personal identification information, such as your name, home address, date of birth, gender, work related photographs, and phone number;
Government-issued identification numbers, such as national insurance number for payroll purposes;
Immigration, right-to-work and residence status;
Family and emergency contact details;
Job-related information, such as years of service, work location, employment ID, work record, absences, and contract data;
Educational and training information, such as your educational awards, certificates and licenses, vocational records and in-house training attendance;
Recruitment and performance-related data, such as objectives, ratings, comments, feedback results, career history, work equipment, career and succession planning, skills and competencies and other work-related qualifications;
Information related to your usage of NRS Training Services assets such as phones, computers or vehicles;
Information needed for compliance and risk management, such as disciplinary records, background check reports and security data;
Payroll- and payment or benefits-related information, such as salary and insurance information, dependents, government identifier or tax numbers, bank account details, and employment related benefits information.
We process personal information for the following purposes:
- Workforce planning, recruitment and staffing;
- Workforce administration, payroll, compensation and benefit programs;
- Performance management, learning and development;
- Advancement and succession planning;
- Legal compliance, including compliance with government authority requests for information and tax compliance;
- Workplace management, such as travel and expense programs and internal health and Safety programs,
- Internal reporting and audit;
- To protect NRS Training Services, its workforce, and the public against injury, theft, legal liability, fraud or abuse;
- Schedule planning including mobbing
- Planning and submission of tenders to evidence company capability.
In addition, we may process sensitive personal information if it is needed for legitimate business objectives or if it is required to comply with a legal requirement. Sensitive personal information will not be collected, processed or transferred, except where adequate privacy protection mechanisms are in place and after having first obtained your informed consent.
How do we protect your information;
NRS Training Services holds data both physically on paper and electronically in our computer systems.
- Physical Data;
Your physical data including your personnel file is kept in a locked cabinet at our main offices in Caldercruix. This locked cabinet is in a locked office and is only accessible to those members of staff who have sufficient data protection training and permission to access this data.
- Electronic Data;
Only those members of staff with sufficient data protection training and adequate management permissions will have the ability to access the information we hold on you electronically. Computer systems are protected by firewalls and back up devices. The system administrator controls who has access to various sections of our server. All sensitive information is password protected.
We respect your right to object to any uses or disclosures of your personal information that are not (i) required by law, (ii) necessary for the fulfilment of a contractual obligation (e.g., employment contract), or (iii) required to meet a legitimate need of NRS Training Services as an employer (such as disclosures for internal auditing and reporting purposes or other processing covered by this notice).
If you do object, we will work with you to find a reasonable way forward.
We take reasonable steps to ensure that personal information is accurate, complete, and current. Please note that we will do what we can to make sure the records we keep are up to date and accurate, but it would be appreciated if you could help NRS Training Services by notifying us at the earliest opportunity of any change in the information we hold on you.
You have the right to request access to all information that NRS Training Services holds on you. Should you wish to submit a Subject Access Request please notify the responsible manager on the below details and your request will be processed and returned within 30 days.
On termination of engagement or employment with NRS Training Services you have the right to request erasure of all information the company holds on you. You are to submit a request to the responsible manager noted below and on request you will be issued with a certificate of destruction within 30 days.
Sharing your information;
NRS Training Services may from time to time need to share your data with others in the course of its business activity. We will share your information including email address, phone number and competency certificates to companies within the group including; Geo-Rope Ltd, Geo-Structural Ltd, Observetis Ltd or any other director associated company.
We will share your phone number on a group forum which will either be Whatsapp or via email, this is to allow us to coordinate our operations effectively.
